Privacy policy

This policy explains what information showday.live (“Showday”, “we”, “us”) collects, how we use it, and the choices you have. Showday is a shared workspace that helps independent companies coordinate live events. It applies to our website and application at showday.live.
Who we are
Showday is operated from India. For any privacy question, or to exercise your rights, contact us at privacy@showday.live.
Information we collect
We collect only what we need to run the workspace:
- Account information — your name, email address and password (stored only as a secure hash), and the organisations you belong to.
- Content you add — shows, stages, artists, documents and riders you upload, requirements, agreements, approvals, published plans and messages. Some of this is private to your organisation; some is shared with other teams on a show at your choice.
- Usage and technical data — basic log data such as actions taken, timestamps, device and browser information, needed to operate and secure the service.
- Connections you authorise — if you connect a third-party account (for example Google Sheets), we store the access it grants so we can import data you ask us to; credentials are held encrypted and are never shared with other participants.
How we use information
- To provide the workspace: create shows, extract and review requirements, coordinate agreements, publish plans and track acknowledgements.
- To keep the service secure, prevent abuse, and maintain an audit trail of consequential changes.
- To communicate with you about your account, invitations and important updates.
- To improve reliability and understand how the product is used, in aggregate.
Automated processing of documents
When you upload a rider or plan, we process its text to suggest structured requirements for your team to review. These are suggestions — a person confirms, edits or dismisses them. We use a third-party AI provider to perform this extraction; your documents are sent for processing but are not used to train that provider's models. Showday never changes an agreed or published plan without a responsible person's action.
Sharing and disclosure
We do not sell your information. We share it only:
- With other teams on a show, strictly according to what your organisation chooses to share. A shared requirement does not grant access to the private source file it came from.
- With service providers who host and run the platform on our behalf — including Supabase (database, authentication and file storage), Railway (application and background services) and our AI extraction provider. They process data under contract and only to provide their service.
- When you connect a third-party tool such as Google Sheets, to read the data you ask us to import.
- Where required by law, or to protect the rights, safety and security of Showday, our users or the public.
Your organisation's data stays yours
Each organisation keeps control of its private information — rates, internal staffing, kit beyond what it declares, unshared files and draft responses. The show workspace holds only what a company deliberately shares. Server-side rules enforce this separation, not just the interface.
Retention
We keep information for as long as your account and shows are active, and as needed to provide the service, meet legal obligations, resolve disputes and enforce our agreements. You can ask us to delete your account; some records may be retained where the law requires.
Security
We protect information with encryption in transit, encryption of sensitive credentials at rest, strict per-organisation access controls, and an append-only audit log of consequential changes. No system is perfectly secure, but we work to protect your data and to respond promptly to any incident.
Your rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and object to or restrict certain processing. Contact privacy@showday.liveand we will respond within a reasonable time.
International transfers
Our providers may process data in locations outside your country. Where they do, we rely on appropriate safeguards for that transfer.
Children
Showday is a professional tool and is not directed to anyone under 18.
Changes to this policy
We may update this policy from time to time. We will change the “last updated” date above and, for material changes, take reasonable steps to notify you.
